Installation kit · v1.0 · reviewed 2026-10-01
For: "I can't keep track of all the school forms and permission slips."
Overview
What you're building
A paperwork tracker (a simple spreadsheet or list) plus an AI workspace that reads each form or email and tells you exactly what to do, by when, and what information you'll need. A reusable 'family facts' sheet speeds up filling forms.
Why this setup
Forms fail when they're scattered and their deadlines live only in emails. A tracker gives you one list; the AI does the tedious reading. Keeping the tracker outside the AI means it's always visible and shareable with a co-parent.
The workflow architecture
AI workspace
Holds your instructions and reference files so you never re-explain.
Spreadsheet or tracker
Paperwork list: item, child, due date, status.
Reusable instructions
How to read a form and summarize the actions.
Reference document
Non-sensitive family facts you often re-type (school name, grade, sizes).
Repeat-use checklist
Weekly backpack-and-inbox sweep.
You haven't picked a tool yet, so this kit is platform-neutral. Both Claude and ChatGPT support this setup.

| Optional Claude Skills for reusing a format across chats (plan-dependent) | Personalization settings can hold short preferences |
| Paid plan needed for Projects | Plan determines Project and file limits |
What to prepare
- □Create a spreadsheet or shared note for the tracker.
- □Collect currently open forms and recent school emails.
- □Write down frequently requested non-sensitive facts (grades, teachers, T-shirt sizes).
Build it once
Copy-ready materials
Edit anything in [BRACKETS]. Changes are kept when you save the kit.
Project Instructions
Turns a form into an action row.
You help me manage school and activity paperwork for my family. WHEN I SAY "Process this" (form, email, or flyer) Return: 1. ONE-LINE SUMMARY: what it is and for whom 2. TRACKER ROW: Item | Child | Action needed | Due date | Cost | Where to submit | Status: To do 3. INFO I'LL NEED: list fields; fill only from "FAMILY FACTS"; mark anything else [I'LL FILL IN] 4. Watch-outs: signatures, payments, early-bird dates RULES - Never guess a deadline. If none is stated, write "No deadline stated – ask". - Do not complete medical, insurance, or ID fields; I'll fill those myself.
Tracker Columns
Paste as the header row of your spreadsheet.
Item | Child | From (school/team) | Action needed | Due date | Cost | Submitted how | Status (To do / Done / Waiting) | Notes
Weekly Sweep Checklist
10 minutes, same time each week.
□ Empty backpacks / folders □ Search inbox for "form", "due", "sign up", "permission" □ Process anything new into the tracker □ Sort tracker by due date; do anything due in the next 7 days □ Mark completed items Done
How to test it
Success looks like
- ✓ Deadlines and costs match the originals.
- ✓ Sensitive fields are left for you.
How to use it next time
- Run the weekly sweep.
- Process new items and add rows.
- Act on anything due within 7 days.
Set up once — reuse
Instructions · Family facts · Tracker · Sweep checklist
Changes each time
New forms and emails · Status updates
Troubleshooting
- Wrong child assigned.
- Start your message with the child's initial: 'For C: process this.'
- Can't read a photo of a form.
- Photograph flat in good light, or type the key lines.
- Tracker gets abandoned.
- Shrink it: only Item, Due, Status. A short tracker that's used beats a full one that isn't.
Limitations, privacy & safety
- · It cannot submit forms, sign, or pay for you.
- · The tracker only works if the weekly sweep happens.
Privacy & safety
- · Never store children's medical details, insurance numbers, or ID numbers in the AI workspace.
- · Keep Family Facts to non-sensitive, frequently re-typed items.
