Installation kit · v1.0 · reviewed 2026-10-01
For: "I want a home inventory for insurance in case something happens."
Overview
What you're building
Two plain records you own and control: a room-by-room inventory spreadsheet and a 'document locator' that says where each important paper lives (not what's in it). The AI helps you build and tidy them; the records live in your own files.
Why this setup
For records this sensitive, the AI is a helper for structuring and cataloguing, not a storage place. A locator ('Car title: fire safe, blue folder') is useful in an emergency without exposing account numbers to any service.
The workflow architecture
AI workspace
Holds your instructions and reference files so you never re-explain.
Spreadsheet or tracker
Inventory spreadsheet by room.
File organization
Document locator: where each record physically or digitally lives.
Reusable instructions
Turns your walkthrough descriptions into rows.
Your review
Annual refresh.
You haven't picked a tool yet, so this kit is platform-neutral. Both Claude and ChatGPT support this setup.
| Claude | ChatGPT |
|---|---|
| Claude Projects: instructions + project knowledge files | ChatGPT Projects: instructions + uploaded files |
| Optional Claude Skills for reusing a format across chats (plan-dependent) | Personalization settings can hold short preferences |
| Paid plan needed for Projects | Plan determines Project and file limits |
What to prepare
- □Phone for photos/video of each room.
- □A list of the categories of important documents you have (IDs, titles, policies, wills).
- □A safe storage location for the final files (encrypted drive, password manager notes, or a physical binder).
Build it once
Copy-ready materials
Edit anything in [BRACKETS]. Changes are kept when you save the kit.
Room Starter
Paste with each room's description.
Turn my description into inventory rows using these columns: Room | Item | Brand/Model | Approx. purchase year | Approx. value | Photo taken (Y/N) | Receipt location Rules: keep my estimates as given; if I didn't give a value, leave it blank (don't estimate). Group small items (e.g. "kitchen utensils – lot"). ROOM: [ROOM NAME] DESCRIPTION: [YOUR WALKTHROUGH NOTES]
Document Locator Columns
Fill in yourself — locations, never numbers.
Document | Whose | Where it lives (physical / digital path) | Who else knows | Renewal/expiry date | Last checked Examples: Passport | [Name] | Fire safe, top shelf | [Spouse] | [2031] | [Date] Home insurance policy | Household | Email folder "Insurance" + binder tab 3 | [ ] | [renewal] | [ ]
How Claude can help execute this
Why use this instead of a regular chat?
A chat can suggest folder names. On the desktop app, a supervised task can actually sort a folder of household documents into your categories and rename files to your convention — which is why the copies-first test below matters.
- Task execution needs a paid Claude plan. Add your plan in My AI Setup for a more specific recommendation.
- Working with files on your computer needs the Claude desktop app (macOS or Windows; Linux is in beta for some features).
- This involves sensitive information. Keep Claude asking before it acts (the default), and approve each step.
Availability depends on your Claude plan and device. Add them in My AI Setup for a more specific recommendation.
1. Set up once
- · Write your folder structure and naming rule (see the Document Locator block for categories).
- · Make a full copy of the household documents folder to test on. Keep the original untouched.
2. Claude capabilities used
- · Multi-step task execution (Cowork-style)
- · Working with files on your computer (desktop app)
3. Access, files & permissions
- · The Claude desktop app (local files are desktop-only)
- · A folder you explicitly choose to share
- · A paid Claude plan
4. What Claude can do
- · Propose a sorting plan before moving anything
- · Sort and rename files in the copy you shared
- · Produce a list of what went where
5. What you review or approve
- · The proposed plan before approving it
- · The finished folder and the moved-files list
- · That nothing was deleted
6. What changes each run
- · New documents added to the inbox folder
7. Test it safely
- · Run the task on the copy, not the original.
- · Ask for a plan first and approve it before any file is moved.
- · Compare file counts before and after; nothing should be missing.
8. If it doesn't work
- Files land in the wrong category.
- Add 2–3 examples per category to the task instructions and re-run on a fresh copy.
- It wants to delete duplicates.
- Tell it: 'Never delete. Move suspected duplicates to a _Review folder.'
Run the task
If your Claude has one unified message box (no Chat/Cowork choice)
- Open the Project, then describe the task in any conversation. Claude decides whether it's a quick answer or a task.
If you see separate “Chat” and “Cowork” options
- In the message box, select “Cowork” in the bottom-left corner, then describe the task.
- Projects work the same way in Cowork and in chat.
Task request
In [COPY OF HOUSEHOLD FOLDER], propose a plan to sort files into: [CATEGORIES]. Rename files as YYYY-MM-DD_Type_Description. Show me the plan and wait for approval. Never delete anything; put unclear files in _Review.
Fallback: Sort files yourself using the folder structure, and use a chat to help name categories.
By default, Claude asks before taking an action. Keep that on for anything involving money, personal records, or files you can't replace.
How to test it
Success looks like
- ✓ They find both without asking you.
How to use it next time
- After a major purchase, add a row.
- Once a year, walk through and update; check document expiry dates.

Troubleshooting
- AI adds values I didn't give.
- Reinforce 'leave blank, don't estimate'; check values before saving.
- The project stalls halfway.
- Do one room per week; start with the most valuable rooms.
- Records are out of date.
- Add an annual reminder in your calendar tied to insurance renewal.
Limitations, privacy & safety
- · Value estimates are yours; insurers may require receipts or appraisals.
- · This is not legal or estate planning.
Privacy & safety
- · Never paste account numbers, Social Security numbers, policy numbers, or passwords into an AI tool.
- · Keep the final records in storage you control and trust.
