Overview
What you're building
A reusable document workspace: one place in your AI tool that permanently holds your format rules, one great past example, and a template outline. Each time the document is due, you open the workspace, add only this period's source material, and get a first draft that already follows your structure.
Why this setup
The repeated cost here is not writing; it is re-explaining. Standing instructions plus a reference example remove that step entirely. A fresh chat forgets your section order, tone, and figures-first preferences every time; a workspace keeps them. A Skill is not needed unless you want the same formatting to follow you into unrelated chats.
The workflow architecture
AI workspace
Holds your instructions and reference files so you never re-explain.
Reusable instructions
Standing rules: audience, section order, length, tone, what never to include.
Reference document
One finished example you were happy with, so the AI can see the target.
Document template
A bare outline with headings and placeholders that every draft must follow.
Repeat-use checklist
Your pre-send review: numbers, names, dates, confidentiality.
You haven't picked a tool yet, so this kit is platform-neutral. Both Claude and ChatGPT support this setup.
| Claude | ChatGPT |
|---|---|
| Claude Projects: instructions + project knowledge files | ChatGPT Projects: instructions + uploaded files |
| Optional Claude Skills for reusing a format across chats (plan-dependent) | Personalization settings can hold short preferences |
| Paid plan needed for Projects | Plan determines Project and file limits |
Optional, advanced: if you want this exact format available in any Claude chat (not just one Project), Claude Skills can package instructions and templates. Skills availability depends on your plan and settings; start with the Project and only move to a Skill once the format is stable.
What to prepare
- □One or two finished past versions you considered good (remove anything confidential you are not permitted to share).
- □The list of section headings in the order you always use.
- □Who reads it, and what they care about most (decisions, risks, numbers).
- □Typical source materials for one cycle (e.g., the data export, meeting notes, prior month's version).
- □Any non-negotiables: word limits, slide counts, required disclaimers, house style.
Build it once
Copy-ready materials
Edit anything in [BRACKETS]. Changes are kept when you save the kit.
Project Instructions
Paste into your workspace's instructions field.
You help me produce my recurring [DOCUMENT NAME, e.g. Monthly Operations Report] each time it comes up. AUDIENCE: [WHO READS IT] — they care most about [DECISIONS / RISKS / NUMBERS]. STRUCTURE (always in this order): 1. [SECTION 1, e.g. Summary – 3 bullets max] 2. [SECTION 2] 3. [SECTION 3] 4. [SECTION 4, e.g. Next period priorities] RULES - Follow the outline in the reference file "Template Outline" exactly. Do not add or rename sections. - Match the tone and density of the reference example. Keep it to [LENGTH, e.g. 2 pages / 10 slides]. - Use only figures that appear in the materials I upload for this cycle. Never estimate or invent numbers. - If a section has no source material, write "[NO INPUT PROVIDED]" instead of filling it in. - Flag anything that changed significantly from the previous version. - For presentations: give me slide-by-slide text (title, 3–5 bullets, speaker note), not design instructions. When I start a new cycle, first list the materials you received and any gaps, then draft.
Template Outline
Save as a document and upload it as a reference file.
TEMPLATE OUTLINE – [DOCUMENT NAME] TITLE: [Document name] – [PERIOD] PREPARED FOR: [AUDIENCE] PREPARED BY: [YOUR NAME] 1. SUMMARY - [Headline result] - [Biggest change since last period] - [Decision or support needed] 2. [SECTION NAME] [Placeholder: what belongs here, which source it comes from] 3. [SECTION NAME] [Placeholder] 4. RISKS / ISSUES [Issue] – [Impact] – [Owner] – [Next step] 5. NEXT PERIOD [3–5 priorities] APPENDIX (optional): [supporting tables]
Cycle Starter
Paste this each time you start a new draft.
New cycle: [PERIOD, e.g. October 2026]. Attached for this cycle: - [FILE 1 – what it is] - [FILE 2 – what it is] What's different this time: [ANY CONTEXT, e.g. new team member, a delayed project]. Please: (1) list what you received and anything missing, (2) draft using the Template Outline, (3) end with a short list of figures I should double-check before sending.
Pre-Send Review Checklist
Run before anything leaves your hands.
□ Every number traced back to a source file □ Period, dates and names are this cycle's (not last cycle's) □ No section silently filled with invented content □ Tone matches the audience □ Confidential details removed or approved for sharing □ Formatting finished in your own document/slide tool
How Claude can help execute this
Why use this instead of a regular chat?
A regular chat helps you draft text you then paste into slides yourself. A task can read this cycle's report, follow your saved specification, and produce the finished document or deck (downloadable as PowerPoint or PDF where Claude Slides/Docs are available) for you to review.
- Task execution needs a paid Claude plan. Add your plan in My AI Setup for a more specific recommendation.
Availability depends on your Claude plan and device. Add them in My AI Setup for a more specific recommendation.
1. Set up once
- · Create a Project and paste the Project Instructions block as its instructions (this is your reusable presentation/report specification).
- · Add your Template Outline and one approved past version to the Project's files.
- · Optional: once the format is stable, package it as a Skill so it's available outside this Project.
2. Claude capabilities used
- · Multi-step task execution (Cowork-style)
- · Files saved to your Claude account
- · Claude Docs & Slides (beta, paid plans)
- · Scheduled tasks
3. Access, files & permissions
- · The new source report for each cycle (upload it, or point to it through a connector you've chosen to connect)
- · A paid Claude plan for task execution and Docs/Slides (beta)
4. What Claude can do
- · Read the new report and your reference files
- · Draft the document or slides in your approved structure
- · List figures it used and any gaps it found
5. What you review or approve
- · Every number against the source report
- · Names, dates, and period
- · Formatting in the final file before you share it
6. What changes each run
- · The source report
- · Anything unusual about this period
7. Test it safely
- · Run it with last cycle's report and compare the result to what you actually sent
- · Don't share anything produced in a test run
8. If it doesn't work
- The deck doesn't match your template's look.
- Treat Claude's output as the content draft; apply your company template in PowerPoint or Slides. Visual fidelity varies by plan and file type.
- Slides and Docs options don't appear.
- They're in beta on paid plans, and Enterprise admins choose when to enable them. Use the regular Project path and paste text into your own template.
Run the task
If your Claude has one unified message box (no Chat/Cowork choice)
- Open the Project, then describe the task in any conversation. Claude decides whether it's a quick answer or a task.
If you see separate “Chat” and “Cowork” options
- In the message box, select “Cowork” in the bottom-left corner, then describe the task.
- Projects work the same way in Cowork and in chat.
Task request
Using this project's instructions and template, create this month's [REPORT/DECK] from the attached [SOURCE REPORT]. Ask me if anything is unclear. Before finishing, list every figure you used and where it came from.
Scheduled execution (optional)
Only schedule once a manual run has passed your test. Each run is its own task you review.
Unified Claude
- Describe the task and how often it should run.
- Answer Claude's questions, then review the proposed name, schedule, and instructions and click “Schedule.”
Separate Cowork
- Click “Scheduled” in the left sidebar to create and review scheduled tasks.
Schedule request
Every [first Monday of the month at 8 AM], create the [REPORT] from the latest file in [CONNECTED FOLDER], using this project's instructions. Don't send or share it — leave it for my review.
Fallback: Use the Project-only path in Build It Once: Claude drafts the content, and you paste it into your own template.
By default, Claude asks before taking an action. Keep that on for anything involving money, personal records, or files you can't replace.
How to test it
Success looks like
- ✓ Sections appear in your order with your headings.
- ✓ No numbers appear that are not in the source files.
- ✓ You would need to edit content, not restructure it.
How to use it next time
- Open the workspace (do not start a regular chat).
- Upload only this cycle's source files.
- Paste the Cycle Starter, filling in the period and what changed.
- Review the gaps list first, then the draft.
- Run the Pre-Send Review Checklist and finish formatting in your usual tool.

Troubleshooting
- The draft adds sections or reorders them.
- Add to instructions: 'The outline is mandatory. Never add, remove, or rename sections.' Re-upload the outline with a clearer file name.
- It uses last month's figures from the reference example.
- Rename the example 'REFERENCE – FORMAT ONLY, figures out of date' and add a rule: 'Never reuse numbers from reference files.'
- Drafts are too long.
- State a hard limit per section (e.g. 'Summary: max 60 words') rather than an overall length.
- Slide text is too dense to present.
- Add: 'Max 5 bullets per slide, max 10 words per bullet; detail goes in speaker notes.'
Limitations, privacy & safety
- · The AI drafts text; final layout and design still happen in your document or slide software.
- · It cannot pull data from your systems on its own; you upload the materials each cycle.
- · Projects require a paid plan on both Claude and ChatGPT; file limits vary by plan.
- · You remain responsible for accuracy of every figure.
Privacy & safety
- · Check your employer's AI policy before uploading internal reports. Many workplaces restrict which tools may receive company data.
- · Remove client names, salaries, and personal data from reference examples unless your organization has approved the tool.
